Cancellation Policy

We understand that circumstances may change and that delegates may need to cancel their Congress registration. The following cancellation policy has been implemented to ensure fair and consistent administration while allowing the organisers to meet contractual obligations with the venue and service providers.

All cancellation requests must be submitted in writing via email to the Congress Secretariat. Cancellations will only be considered effective once written confirmation has been received by the Secretariat.

The following cancellation terms will apply:

  • More than 60 days prior to the Congress: A full refund will be issued, less an administrative fee of 10% of the registration fee.
  • 31–60 days prior to the Congress: A refund of 50% of the registration fee will be provided.
  • 30 days or less prior to the Congress: No refunds will be issued, as commitments to the venue, catering, and other suppliers will have been finalised.

Failure to attend the Congress without prior written cancellation (a “no-show”) will not qualify for any refund.

Where registration fees have not yet been paid, delegates remain liable for any applicable cancellation fees incurred in accordance with this policy.

Substitutions of delegates from the same organisation are permitted at no additional charge, provided the Congress Secretariat receives written notification at least ten (10) working days before the start of the Congress. Any difference in registration category or applicable fees will be invoiced or refunded accordingly.

Refunds, where applicable, will be processed within 30 days after the conclusion of the Congress using the original method of payment, where possible. Bank charges, foreign exchange costs, and transaction fees incurred during the refund process may be deducted from the refunded amount.

The organisers reserve the right to cancel or postpone the Congress due to circumstances beyond their reasonable control. In such cases, delegates will be advised promptly, and registration fees will either be transferred to the new Congress dates or refunded. The organisers shall not be responsible for travel, accommodation, visa, or any other costs incurred by delegates as a result of such cancellation or postponement. By registering for the Congress, delegates acknowledge and accept these cancellation terms.
